Manage files

The Files screen (menu Administration › Instance and operations › Files) gathers the files stored by Portail ZAPP: the ones you upload here, but also the attachments of tickets, knowledge base articles and received emails, which the other modules store there. It is reserved for Administrators.

The file list

Each file shows its Name, Type, Size, Tag and upload date (Uploaded). The most recent come first.

  • Without the Data grids module, search by name (Search by name...) or by Tag, then Filter; Clear removes the filters. The tag filter needs the exact tag. Each row offers three buttons: download, replace and delete.
  • With the Data grids module, the list is a grid: select a row, then Download or Replace in the toolbar; deletion is done from the grid.

Tags group files together. Some are set by the other modules, for example kb-article for article attachments or tima-inbound-email for attachments of received emails.

Upload a file

Upload opens the Upload a file screen: choose the File, add a Tag (optional) if needed (128 characters at most), then Upload. The message "File uploaded successfully." confirms the upload.

A file cannot exceed 50 MB. Only the types allowed in the instance configuration are accepted; the shipped configuration accepts images, PDF, Word, Excel, CSV, ZIP, plain text and JSON. Any other type is rejected with an error message.

Replace a file

Replace opens the Replace file screen: choose the new file and correct the tag if needed (emptying the field removes the tag), then Replace. The file keeps its place: a ticket or an article that refers to it now shows the new content, under the new name. The old content is erased from storage and cannot be recovered: download it first if you need to keep it.

Delete a file

Deleting removes the file from the list and makes it unavailable everywhere: a ticket or an article that referred to it no longer shows it, without any error. Check before deleting an attachment uploaded by another module. The content stays on the server storage; there is no screen to restore a deleted file.

Check integrity

Integrity check opens the File integrity screen, which checks that every file in the list actually exists on storage:

  • Missing on storage: number of listed files whose content has disappeared (downloading them will fail);
  • Orphaned on storage: this counter always shows 0, as detecting content with no matching file is not available yet.

When issues are found, the screen does not list the files concerned: they are in the server logs. On an instance with many files, the check can take a while.

Good to know

  • Uploads, replacements and deletions are recorded in the audit log.
  • Name search ignores case but not accents: "resume" does not find "résumé".
  • Who can open the screen, upload, replace, download or delete is set in "Setting permissions" (Files module). Deleting from the grid requires the same permission as the list's delete button.
