The Asset management module of Portail ZAPP keeps track of your hardware and software estate: workstations, servers, network equipment, vehicles, furniture, software licenses. The screens are reserved for administrators and for the Asset managers group; this group does not need access to the generic CMDB screens.
Asset list
The Assets page (/assets) lists assets of every type (a laptop, a server or a vehicle is an asset type), with their status, the person they are assigned to and their warranty end date. Search ignores case and accents. The list stops at the first 500 results: narrow your search if a banner says so.
Asset record and form
An asset's record shows all its information, its files, its relations (hosted service, location, contractā¦) and the history of its changes. The Edit button only appears if you are allowed to edit that asset type.
An asset reported by an inventory connector (Ivanti Neurons, Neurons for MDM, Intune, GLPIā¦) has a summary at the top of its record: system, processor, memory, total storage and free share, primary user, date of the last report and the sources that saw it. The record is then organized in tabs: Overview (information, files, relations and history), Hardware (disks with their usage, network interfaces), Software (with a Filter box that ignores case and accents) and Sources. An empty tab is not shown, and the page address keeps the open tab. Disks, interfaces and software no longer appear among the relations.
The New / Edit form groups fields by theme: identification, acquisition and costs, assignment and location, attachment, then the fields your administrator added. You choose the asset type (generic asset or one of its subtypes) and its attachments (location, department, cost center). An empty required field or a value outside the list is reported at the top of the form, and nothing is saved.
The Contract field only exists if the Contract management module is installed.
The attachment field accepts several files, added once the asset is created: on the record (Files section) or in the Edit form, drag the files onto the drop zone or click it to choose them. The upload starts at once, without losing what you typed. Click a name to download the file, the cross to remove it. Accepted types and the maximum size (50 MB by default) are those of the instance; at most 20 files per upload.
Reserving an asset
Reserving an asset for a period is described in the "Reserve an asset" page.
Alerts
Every day, three tasks warn you before a due date:
- AssetWarrantyExpiryCheck: an asset's warranty end (a ticket can be created if the Service Desk is installed);
- AssetInspectionExpiryCheck: the next due date of a regulatory inspection (electrical inspection, vehicle inspectionā¦);
- SoftwareLicenseExpiryCheck: the expiry of a software license.
The emails use the asset-warranty-alert, asset-inspection-alert and software-license-expiry-alert templates, which you can edit in template administration.
Equipment return list
From the user list, the Equipment return button opens the list of assets assigned to the selected person, to be handed back when they leave. It can be exported as CSV and PDF (asset-return-list template). It is for information only: it does not block deactivating the account.
Dashboard and ACS screen
The Asset Manager dashboard brings together the estate indicators (assets in service, purchase value, active contracts and expiries if Contract management is installed), the breakdown of assets by status or location, and warranty ends within 30, 60 and 90 days.
In the ACS screen, the Assets folder shows the tree of asset types; each type lists its assets, subtypes included.
