Managing supplier contracts

The Contract management module of Portail ZAPP tracks the contracts signed with your suppliers (licenses, maintenance, leasing, services, insurance), their expiry dates and the service levels your suppliers owe you. The screens are reserved for administrators and for the Contract managers group; this group does not need access to the CMDB.

Contract list

The Contracts page (/contracts) lists every contract, whatever its status, nearest expiry first. You can:

  • search a contract by its name or by the supplier's name (case and accents are ignored);
  • filter by status (draft, active, expired, terminated);
  • filter by expiry: within 30, 60 or 90 days, already expired, or without an end date.

A badge flags a contract that has expired or expires within 30 days. The contract name opens its record, where its details are edited.

Expiry calendar

The Contract calendar page (/contracts/calendar) shows the same list without filters: every contract, past dates included, sorted by end date. Use it to plan the year's renewals.

Vendor SLA catalog

A contract's SLA field refers to one of the service levels of the Vendor SLA catalog: target response and resolution times, target availability, service window. That service level is shown on a Service Desk ticket whose linked asset is covered by the contract. Maintaining the catalog is described in the "Maintaining the vendor SLA catalog" page.

Expiry alert and renewal

Every day, the ContractExpiryCheck task looks for contracts whose end date falls within the notice period entered on the contract (in days). The contract owner then receives an email, once per expiry. A draft or terminated contract is never alerted.

If the contract refers to a renewal service of the service catalog, a request is started together with the alert, to trigger the renewal or termination decision.

The email text is the contract-expiry-alert template, which can be edited in the templates administration.

ACS screen and dashboard

In the ACS screen, the Contracts folder groups contracts by type and shows upcoming expiries in three windows: within 30 days, from 30 to 60 days, from 60 to 90 days. The Contract expiries dashboard widget counts the contracts in each window.
