The Delegations administration screen (/delegations/admin) gives an overview of every user's delegations and lets you create one on behalf of someone else, typically for an unplanned absence. It is reserved for Administrators and Delegation administrators. Menu: Administration › Users & access › Delegations. A delegation administrator who is not an administrator reaches it through the same menu: only the Delegations entry is shown to them.
How a delegation works (absence, authority, period, effects in the Service Desk and in Workflow) is described in "Delegating while you are away".
Finding a delegation
The list shows the full history, including revoked and expired delegations. Filter by State (Active, Scheduled, Expired, Revoked), by Type (Absence, Authority) or by Module — a free-text field where you type the module's technical code: TIMA for the Service Desk, Workflow for requests —, then click Filter; Reset clears the filters.
The History button of a row opens every delegation granted or received by the principal of that row.
Creating a delegation for someone else
Click Delegate. The form is the same as in "My delegations", with one more field: the Principal, the person whose work is delegated. The principal and the delegate must be different, and the end of the period must be after its start.
Editing or revoking
- Edit changes the principal, the delegate, the type, the scope, the period or the reason. This is also possible on an expired delegation, to extend it. A revoked delegation can no longer be edited: it belongs to the history.
- Revoke stops the delegation immediately. It stays in the list with its revocation date.
Every creation, edit and revocation is recorded in the audit log, with the person who actually acted, even when an administrator acts on behalf of an absent colleague.
