The Payment lines menu (/payment-lines) is reserved for administrators and the BILLING_MANAGERS group. A payment line is an amount owed by an organization: a free-text concept, an amount, a currency, one-off or monthly. The payer pays it by card from "My payments".

Create a line

Payer (active organization), concept, strictly positive amount, currency among those of the PaymentLines:Currencies setting (preselected: the currency of the same payer's last line, otherwise the default currency), frequency, start, optional end and coverage (licenses or instances funded, as free text). No currency conversion.

Change a line

  • Change the amount of a monthly line: no proration, applied at the subscription's next due date; the amount history is kept.
  • Cancel a line that was never paid; end a committed line.
  • Lines are never deleted.

Non-payment, grace and suspension

A declined charge puts the line into grace (PaymentLines:GraceDays, 5 days by default). Alerts: when the grace period starts (payer and BILLING_MANAGERS), a reminder to the payer on the third day, then at suspension (payer and BILLING_MANAGERS). Suspension is done by the daily PaymentLineGrace task.

At suspension, the licenses covered by the line are revoked automatically; a payment restores them. An ended or canceled line revokes nothing, but the contract end of the licenses it covers can no longer be extended.

Payments and invoices

A line's page shows the amount history and the payments. Each payment requests an invoice marked as paid from the invoicing connector; its number comes back onto the payment. An invoice that could not be requested is requested again by the daily task, with no duplicate.
