Quotes requested by partners (or by the ZAPP team for a direct sale) arrive on the Quotes page (/offers/quotes). The partner side is described in "Price an offer and request a quote" (Help base).

Who does what

Action Who
Approve or refuse a non-standard discount QUOTE_APPROVERS, administrators
Issue the quote, activate the order BILLING_MANAGERS, LICENCE_MANAGERS, administrators
Cancel issuers, ZAPP team, authoring partner

The payer is the partner who authored the simulation, at the purchase price; for a direct sale, the end client, at the recommended price.

Non-standard discount

A quote with a non-standard discount waits for a decision (To approve). Approved, the discount becomes a negative line on the quote (Prepared); refused, the quote is canceled. A reason is required in both cases.

Issuing

Issue sends the quote and its lines to "Documents to issue". When the invoicing software's number is entered, it comes back onto the quote, which becomes Issued.

Order and activation

The payer enters their purchase order number: the quote becomes Ordered. Activate first requests the conversion of the quote into an invoice; nothing is created until that invoice is issued. Then, once only:

  • one license per range on the client's attached instance (tier offer, modules, seat pool, contract end = commitment end);
  • the monthly payment line if the client pays by card;
  • the top-up of prepaid packs (AI, SMS);
  • the schedule at the quote's prices;
  • the support tickets on the client's support contract.

Without an attached instance, activation waits; it resumes on its own every night, or manually by choosing the instance. The quote becomes Activated.

Commitment and amendments

The commitment is firm until its end and is never renewed automatically. 90 days before the end, the quote list flags it and a notification is sent to the paying partner and to PRICE_LIST_MANAGERS. An amendment adds agents, options, a tier or a range, pro rata and at the guaranteed prices.
