The assistant without an account

Available in en es fr

Updated on 10/30/2026

If your organization has opened it to visitors, the assistant is offered on public pages (public catalog, public knowledge bases) to someone who has no account. This page describes what that visitor goes through, so you can help them or answer their questions.

Start a conversation

  1. The visitor clicks the round button at the bottom right of the page.
  2. Before the first message, a bot check may be asked, in the panel.
  3. They write their need as a signed-in requester would: "I need a room for 8 people Thursday afternoon".

The conversation is tied to their browser for 7 days: coming back to the site from the same browser, they find it again. A new conversation goes through the bot check again.

What they can ask for

  • The catalog's public services, and only those: a service reserved for signed-in users is never offered to them.
  • Answers taken from the public knowledge bases.
  • A support ticket, when the articles don't answer their question (if the Service Desk is installed): the assistant offers it, and the ticket is also sent only on a click on Send, with their email address.

As for a signed-in requester, the assistant shows a summary and nothing is sent before the click on Send.

Their email address and tracking

The email address is asked only once, with the first summary sent. For each request created, the visitor receives at that address a personal tracking link (with a token): they follow their request without creating an account. The address is kept on the conversation for the next requests.

Limits

  • A visitor conversation stops at 20 messages; they can open another one.
  • The visitors' AI budget is shared and daily: once reached, the assistant is no longer offered until the next day. The service's regular form is always available.
  • The microphone is only offered to visitors if the organization has turned it on for them.

Their data

A visitor conversation is deleted after 30 days with no message (a period set by the organization). The visitor can ask for a copy of their conversations or for their deletion: the administrator finds them by their email address.
