At the end of a contract, you must be able to hand all the personal data of the instance back to the customer, in an open format they can read without MyZapp. The screen is under Data protection › Reversibility export. It is reserved for administrators.
Starting an export
Click Start an export. The archive is built in the background, a few minutes after the request; the screen shows its status: Pending, Running, Ready, Failed or Removed. Only one request can be pending or running at a time.
What the archive contains
The archive is a ZIP file in JSON Lines format (one JSON object per line):
| Entry | Content |
|---|---|
data/<source>.jsonl |
One line per record of a source (accounts, tickets, contacts…): the person, the type, the identifier, the date and the data |
subjects.jsonl |
The people exported: every account, and the people without an account that the modules know (CRM contacts and leads, assistant guests, regulated request requesters) |
files/ |
The content of each uploaded file, and files/index.jsonl describing them (name, type, size, uploader, date) |
manifest.json |
The summary: sections, counts, SHA-256 fingerprint of each entry, failed sources |
A person without an account whose email address belongs to an account appears only once: their data goes with the account.
If a source does not respond, the export still finishes: the source is flagged as incomplete on the screen and in the manifest. Start a new export once the problem is fixed.
Downloading the archive
Downloading requires a sign-in less than 15 minutes old: otherwise, the screen offers to sign you in again. Every download is recorded in the sensitive access log.
The archive's SHA-256 fingerprint is shown on the screen: send it to the customer with the archive, so they can check that the file arrived intact. The manifest also gives the fingerprint of each entry.
How long the archive is available
The archive stays available for 7 days (setting Privacy:ExportRetentionDays, 90 days at most), then it is removed (status Removed). Start a new export if needed.
